Dept ID is used for classification of financial activity by organizational unit.  Three types of organizational units are used in this field:

  1. Administrative units above the department level
  2. Departments
  3. Cost Centers

Administrative Units Above the Department Level are units higher than the Department level on the organizational tree that will be used for budgetary allocations, aggregation of financial activity for reporting, and control of access security to the system.

Department is “the smallest organizational unit of the University recognized by the central administration which has: one or more positions, a budget, and sovereignty (meaning that the Department has its own mission, authority over its own budget, and authority over its own operations).”  Generally, Departments will be the lowest level to which budgets are allocated by the University administration.

Cost Center is an organizational unit, within a department, that will be used for tracking and reporting expenses and/or revenues. Some examples of cost centers might include branch libraries, the various shops within Facilities Operations, each residence hall within Student Housing, or an academic program within an academic department.  Cost centers must be identified to have payroll or non-payroll type expenses.

A complete listing of Department IDs is available to users of the DEMIS Reporting tool . The report is under the Financials tab, titled “ARSP to Cost Center Reference”
